Manager, Order Book & Inventory Management

 

 

 

 

 

 

 

 

 

 

Purpose & Overall Relevance for the Organization:

The Order Fulfilment Analyst team exists in order to accurately reflect our physical stock in all locations and systems therefore maximizing stock allocation to customer orders, within the agreed timelines and parameters. Ensuring stock is effectively allocated to customer orders, to agreed timelines and parameters and the customer order book is delivered on time in full. The order book analysts must work alongside the category planners, sales, Logistics (including all warehouses), purchase order management and the customer service department in order to ensure timely and accurate stock allocation to all accounts. This will include standard allocation and ad hoc requests that occur day to day.

Key Responsibilities:

Team work

  • The Fulfilment Manger is essential to the management of our order books and stock which relies on excellent analytical skills.
  • Excellent relationships with our entire cross functional multi-branded departments.
  • Problem solving with all cross functional multi-branded departments.
  • Contributing to key KPI reports.
  • Support to manage the general order book and monitor stock movement interfaces.
  • Collaborate with the warehouse management team for e.g.: early DN creation, pre-pack events, securing warehouse capacity, re-prioritization, monitoring service level agreements

Allocation

  • Key responsibilities will be to track the order book allocation vs. plan and to ensure the order book is managed tightly
  • Allocation of stock to orders, through overnight batch runs and ad hoc enquiries using SAP/Manhattan and other control systems.
  • Batch runs updated in line with the OF business calendar. Define windows to execute ARUN and input it in SAP
  • Identify the location of stock, to avoid cross allocation and improve stock utilization.
  • Contribute to weekly OF Newsflash to communicate all allocation updates to the business.
  • Ensure timely (manual) creation of delivery notes in close alignment with the DC operations team.

Order book cleansing 

  • Order book cleansing, including appropriate de-allocation, cancellation of delivery notes in line with order book cleansing policies.
  • Ensure when articles are dropped or not bought or PO’s are cancelled that the Sales Orders are cancelled and CS and account managers are informed.

Stock Reconciliation and Movements

  • Liaise and police processes with the warehouse, escalating where necessary to relevant contacts within the business.
  • Manage and action stock category movements, leasing with Category planners and purchase order management.
  • Order book accuracy checks and changes with the sales planning team.
  • Manage and action stock location movements i.e. stock migration, leasing with the relevant warehouses.

Inventory management:

  • Inventory Monitoring:
  • Reporting of ATP to check stock level vs Sales Orders
  • Stock ageing (old articles to move for clearance)
  • Inventory Monitoring: “ICM hit” projection of end of season stock / excess stock allocation projection
  • Inventory projection (stock level vs WH capacity)
  • Physical inventory in SAP
  • Run inventory snapshot
  • Stock corrections in SAP in case of differences with Manhattan in close alignment with the Warehouse team
  • Execute transfer postings SAP
  • Report on a monthly basis, highlight stock adjustment and report on large adjustments.
  • Perform Stock Category Change
  • Execute Stock category movement (eCom, Retail, Wholesales, etc.) in SAP

Interface Failures

  • Analyze, fix and report interface failures to achieve a high level of stock and order book accuracy.
  • Monitor interface issue log (i.e. with Manhattan)
  • Log and manage the outstanding interface error log sheet to inform the whole team at all times.
  • Actively and accurately manually receipting purchase orders, adjusting stock off and onto the system, whilst understanding stock movements in and out of all systems.
  • Determine the causes of interface errors and address causes through identification of robust procedures and disciplines.

System Updates

  • Participation in SAP workshops/upgrades and go-lives in regression testing within the Order fulfilment area when required.
  • Working closely with IT to solve SAP and warehouse system issues.

Knowledge Skills and Abilities:

  • Strong written communication abilities. Fluent written and spoken English is highly desirable.
  • Solid analytical skills, with an ability to gather and use quantitative and qualitative data that drives decisions.
  • High degree of self-motivation and self-management
  • An enjoyment of detail, accuracy, and analytical investigation.
  • Good understanding of Business processes.
  • Positive attitude and good track record of continuous improvement.
  • IT literacy (SAP, Excel essential, BI/Business Objects/data warehouse experience desirable)

Requisite Education and Experience / Minimum Qualifications:   

  • University degree or equivalent education required
  • Minimum of 5 years of job experience, project management or a related field is highly desirable

Strong commercial awareness in Fast Moving Consumer Goods (FMCG) business over a 3-5 year period is highly desirable.
